Practice Director

This is a duel role covering both the management of the firm and working with the Accounts Manager responsibility for the finance function.

Supporting all Practice decisions, carrying out any actions required

To act on behalf of Partners as required

Main Responsibilities

General day-to-day office administration;

  • Oversight of the Firm’s compliance matters, providing legal compliance advice to Partners; creating policies, guidelines, and training if required;

  • Supporting the continuous review and improvement of key business processes and workflows, driving change;

  • Assisting the Partners in creating an environment of continuous quality improvement ;

  • Project managing any new initiatives;

  • Office equipment management;

  • Providing support to the Partners with recruitment, scheduling and completion of performance reviews of departmental staff;

  • Tracking staff annual leave, sickness, and lateness records;

  • Liaison with Business Development Manager over the website, marketing, advertising and sponsorship;

  • Training and/or mentoring other staff members on office policies and procedures;

  • Reviewing new technologies and keeping the Firm at the forefront of developments;

  • Liaison with third party suppliers; renewal and replacement of service contracts;

  • Preparation of Agenda for, attendance and preparation of Minutes of Partners’ Meetings;

  • Preparation of Agenda for and attendance of all Departmental & Office meetings;

  • Initiating & maintaining required policies and procedures across the Firm;

  • Maintaining the Firm’s Office Manual & Health & Safety Manual;

  • Undertaking & maintaining records of regular risk assessments of health & safety;

  • Arranging regular fire-drills as necessary;

  • Supervision of recruitment, interview, induction and training;

  • Arranging inspections of fixed wiring tests every 5 years and PAT testing every 2 years;

  • Arranging regular inspection & maintenance of fire, emergency lighting and burglar alarm systems;

  • Maintaining records of premises rent reviews, break clause reviews and lease terminations;

  • Maintaining a schedule of office redecoration and arrange work;

  • Arranging repair & renewal of premises and office equipment;

  • Maintaining records for all staff and ensure Job Descriptions and Contracts are updated;

  • Supervision of First Aid requirements;

  • Renewing & maintaining Office insurance;

  • Renewing & maintaining Directors & Officers insurance;

  • Renewing Professional Indemnity insurance;

  • Applying and maintaining Practising Certificates through “MySRA”;

  • Supervision of Data Protection policies & procedures;

  • Maintaining records of Client Satisfaction;

  • Dealing with staff problems, complaints & claims;

  • Supervision of the maintenance of precedent letters and documents.

  • Finance Director 

  • In partnership with the Accounts Manager;

    • Ensure the accounting and maintenance of the accounting records of the Firm are to a high degree of efficiency and accuracy in full compliance with current SRA Solicitors Accounts Rules;
    • Provide accurate and timely management information to the Partners;

    • Provide accurate and timely financial information to the Firm’s accountants.

    • Main Responsibilities

    • Monthly Financial Management reporting & analysis to Partners;

    • Provide strategic and financial guidance to the Partners;

    • Departmental financial management and reporting analysis to Departmental Heads;

    • Completion of a wide range of annual industry benchmarking surveys which can later be analysed and reported to Partners;

    • Preparation and maintenance of Budget & Cashflow forecasts;

    • Scrutiny of accuracy of KPI reporting (Katchr);

    • Supervision of compliance for finance and administration (COFA)

    • Supervision of Credit Control process and procedure

    • Relationship & liaison with the Firm’s bank;

    • Calculation of year end WIP, Debtors and Disbursements;

    • Calculation of year end accruals & pre-payments balances;

    • Arrangement of finance as required
